Legal-services e-signature software must preserve document identity, matter boundaries, signer evidence, delegated access, and long-term retrieval. Docusign, Adobe Acrobat Sign, OneSpan Sign, and Signeasy represent different operating hypotheses. This shortlist uses published criteria and is not legal advice or a product test.
Operational constraint: one signer crosses several matters
A firm may send engagement documents, client authorizations, and third-party acknowledgments while the same contact appears in unrelated matters. Staff need access appropriate to role, and completed evidence must stay associated with the right document and matter. Some documents or processes may require another route.
Docusign is the broad administration candidate; Adobe Acrobat Sign the PDF-centered path; OneSpan Sign the risk-control option; and Signeasy the focused mobile hypothesis. Compare matter identifiers, template approval, delegated sending, recipient correction, authentication, evidence export, access controls, legal holds, retention, and archive search.
Reproducible mini-check
Create two synthetic matters with similar client names and different documents. Route one through delegated staff, correct a recipient, complete with approved test identities, and export the final package. Restrict the second matter from that staff role.
Ask a records user to retrieve the correct document and explain events from the matter identifier alone. Score cross-matter leakage, version confusion, evidence readability, and dependence on the original sender. This check has not been executed here.
Exception: electronic signing is not the approved process
Suppose counsel determines a document category, jurisdiction, authority issue, or client circumstance requires another process. The platform must not encourage staff to force the document through the standard template. Preserve the decision, stop routing, and use the approved alternative.
ESIGN and UETA do not establish validity for every document or signature. Counsel should review consent, intent, attribution, association, retention, exclusions, and governing law.
Include a provider-exit check in records planning. Export a synthetic matter package, remove the sender, and confirm that document, attachment, correction, event evidence, and matter identifier remain usable outside the application. Legal-service continuity should not depend on the original lawyer, delegated staff member, or vendor interface.
Conclusion: organize evidence by matter
Choose the candidate whose matter separation, permissions, correction history, evidence, and archive fit the firm's approved document matrix. The strongest workflow makes exceptions visible and keeps the governing record retrievable after senders, clients, or systems change.
