Operational constraint: shared editing continues after routing

A team prepares a document in Google Workspace, approves it, and routes for signature. Someone edits the source after sending, changes sharing, and later finds multiple completed-looking files. The recipient's Google identity may also be mistaken for signing attribution without sufficient context.

Reproducible mini-check

Create two synthetic source versions in an approved test workspace. Send the approved one, edit the source, correct a recipient, complete through test identities, and return the final package. Change folder sharing and remove the original sender.

Ask another user to locate the governing file and evidence from a business identifier. Score version confusion, permission leakage, duplicate files, identity assumptions, retry behavior, and archive search. This check has not been run.

Exception: final-file placement fails

Suppose signing completes but the target Drive location is unavailable or its permissions changed. Ask where the file and evidence wait, who receives the failure, how retry avoids duplicate copies, and how staff confirm reconciliation.

Workspace identity or integration functionality does not establish signature validity. Counsel should address consent, intent, attribution, association, retention, exclusions, and governing law.

Review account succession and shared-drive ownership. Remove the source author and sender, then ask a backup to locate the approved template, active request, final package, and failure log. Personal Drive ownership should not strand organizational agreements or silently change access after employee departure.

Conclusion: control the copy boundary

Choose the candidate whose current connector keeps approved source, presented document, completed package, permissions, and evidence distinguishable. Google Workspace can support preparation or storage, but the business must name the authoritative record and recovery owner.
