PDF signing starts with file governance, not field placement. Adobe Acrobat Sign, Nitro Sign, and Signeasy should be evaluated on how an editable document becomes an approved execution record and how evidence is retrieved later. This shortlist uses published criteria and reports no direct testing.
Buyer scenario: nearly identical files circulate
Imagine an operations team receiving approved PDFs from legal, adding recipient fields, and sending from office or mobile devices. Local copies remain on shared drives, a small wording change creates a new version, and records staff must find the governing completed package years later.
Adobe Acrobat Sign is the established PDF-ecosystem hypothesis. Nitro Sign is a PDF-productivity alternative. Signeasy is the focused mobile-and-office candidate. Map authoring, approval, preparation, sending, correction, evidence retrieval, and retention as separate responsibilities.
Decision criteria: control file lineage
Compare approved-file identification, editing boundary, field placement, reusable documents, sender permissions, recipient order, correction, authentication choices, expiration, voiding, final-file association, audit evidence, search, exports, mobile access, and backup administration.
ESIGN and UETA do not make a PDF or signature valid merely because it is electronic. Counsel should review eligibility, consent, intent, attribution, record association, retention, exclusions, and governing law. Evidence must be assessed for the configured transaction.
Reproducible evaluation plan
Create two synthetic PDFs with similar names and one material difference. Approve one, add fields, send to two recipients, correct an address, complete using approved test identities, and retrieve the signed file and events through a records account. Then ask a new sender to locate the approved source.
Score version confusion, field errors, permission separation, mobile preparation, correction traceability, evidence readability, and export completeness. Use the same files across candidates. This check is proposed and has not been executed.
Edge case: one signer acts on the wrong version
Suppose the obsolete PDF receives a signature. Ask how the request is stopped, events retained, correct document routed, recipients informed, and obsolete record prevented from governing downstream work.
The business and counsel must define the appropriate remedy. Each product should make the original and replacement packages unmistakable rather than silently substituting content.
Add an archive and rollout exercise. Select a synthetic package with multiple pages, an attachment, fields close to page boundaries, a corrected recipient, and an obsolete local copy. Ask document staff and mobile senders to prepare it independently, then compare what each considered approved. Export the completed package and give it to a reviewer without platform access; the reviewer should identify the presented file, recipients, correction, events, and completion. Next, remove the original sender and search by a stable business reference rather than filename. Score how much Adobe Acrobat Sign, Nitro Sign, or Signeasy depends on surrounding folder habits, personal workspaces, or device memory. PDF productivity is valuable only when the organization's records remain authoritative.
Estimate template-library cleanup before migration. Classify every candidate file as approved, draft, example, obsolete, or archive-only, then assign an owner and review date. Importing all PDFs would reproduce the version ambiguity. The preferred platform should support a smaller controlled library and make retired content difficult to send accidentally.
After cleanup, sample retired filenames in search and recent-file views. A sender should not select an obsolete document through a shortcut or local copy. Record the preventive control and the recovery if one still gets routed.
Conclusion: choose the clearest file boundary
Choose Adobe Acrobat Sign or Nitro Sign when PDF-centered operations justify their surrounding workflow, or Signeasy when focused mobile and office execution is sufficient. The winner should help every role identify the approved source, presented document, final artifact, and correction history without relying on filenames alone.
