Microsoft 365 integration can shorten file handoffs while obscuring which copy, account, and repository are authoritative. Adobe Acrobat Sign, Docusign, and Nitro Sign should be evaluated using current integration documentation. No live tenant or connector was tested.

Operational constraint: permissions and versions travel differently

A team edits a document in Microsoft 365, approves it, and sends for signature. A user retains a local or shared copy, the source changes after routing, and the completed file returns to a location with inherited access broader than intended.

Adobe Acrobat Sign is the PDF-centered ecosystem hypothesis; Docusign the broad agreement path; and Nitro Sign the PDF-productivity alternative. Define source file, approved version, sender identity, signing record, completed-file destination, event evidence, and archive owner separately.

Reproducible mini-check

Create two synthetic source versions in a controlled test workspace. Approve one, send, change the source afterward, correct a recipient, complete through test identities, and return the final file. Remove the original sender and review access.

Ask records staff to identify the governing file and evidence without using recent-file lists. Score version ambiguity, permission leakage, duplicate copies, identity continuity, return-path failure, and archive search. This check was not executed.

Exception: the destination folder becomes unavailable

Suppose signing completes while the configured Microsoft 365 location cannot accept the file. Ask where the package waits, who receives an alert, how retry avoids duplicates, and how evidence remains linked to the correct business record.

Integration does not determine legal validity. Counsel should review document eligibility, consent, intent, attribution, association, retention, exclusions, and governing law.

Include library migration in the evaluation. Classify source files as approved, draft, obsolete, example, or archive-only before connecting them. The integration should make the controlled library easy to use and prevent retired documents from reappearing through personal shortcuts, recent-file lists, or inherited folder access.

Conclusion: name one authoritative package

Choose the candidate whose current integration preserves approved version, identity, permissions, final document, and evidence through the unavailable-folder case. Microsoft 365 may hold a working or archive copy, but the organization must document which package governs and how it is reconciled.
